Reports

How to find, run, filter and export a report, what to do when one fails, and a one-line guide to every report in the catalogue.

Written by Chris Hearn

Omono has over thirty reports covering sales, quotes, customers, output, purchasing, accounts, stock and integrations. This article explains how reports work and lists every report. Each family has its own article with every filter and column: Sales reports, Quote reports, Customer reports, Output and accounts reports, Purchasing reports and Stock reports.

Finding a report

Click Reports in the navigation bar. The catalogue shows one card per report, in alphabetical order, with its name, a short description and a coloured icon for its main category.

The Reports catalogue, with the Filter box, the category chips and a starred report.

  • Type in the Filter box to narrow the cards. Omono matches the name, the description and hidden keywords, so you can type what a report is about, such as "margin" or "overdue".

  • Click a category chip to show one category. Click it again, or All, to see every report. Each chip shows how many reports it holds. Some reports belong to two categories, so the counts add up to more than All.

  • Click Reset Filters to clear the box and the chip.

Every user can open every report except Xero Sync Logs, which is for admin users only.

Favourite reports

Click the star in the top right corner of a card to add the report to your favourites. Click it again to remove it. The star does not open the report.

  • A Favourites chip appears next to All, and the catalogue opens on it while you have a favourite. Click All or another chip to see the rest.

  • Favourites are yours alone, and they follow you to any computer you sign in from.

  • If the catalogue opened on Favourites by itself, the Filter box searches the whole catalogue. If you clicked the chip yourself, it searches only your favourites.

  • You can only star a report you can open. If a report is removed from the catalogue, its star goes with it.

Running a report

Click a report card and set the filters at the top of the page. The report runs as soon as you open it, and again each time you change a filter. While it loads, a Preparing Your Report box with a spinner appears. Most reports take a few seconds; a busy report over a long date range takes longer.

Date ranges

Most reports have a date range. Pick a preset from the dropdown, or click the start and end date boxes and choose dates from the calendar. You cannot type a date into these boxes. Choosing dates by hand sets the preset to Custom.

Reports that look back offer presets from Today and This Month to This Financial Year and 5 Years Ago Financial Year, and their calendar does not offer dates after today. The financial year presets use the year end set in Settings → Company → Accounting Period. The Quote Conversion Forecast looks forward instead, from Remainder of This Month to Next 3 Years, and its calendar does not offer dates before today.

Most reports open on This Month. ONS Survey Data, Purchase Price Inflation and Supplier Directory open on This Year, and the Quote Conversion Forecast on Remainder of This Month. A few reports, such as Quote Conversion, Deliveries, Stock Valuation and Contacts, have no date range.

A report keeps your filters while you move around the app. Signing out or reloading the page returns every report to its defaults. Click Reset Filters to reset one report.

Reading the table

  • Click a column heading to sort. Hold Shift and click a second heading to sort by two columns.

  • Change the page size and move between pages above the table.

  • Document numbers, company names and part numbers are links that open the record. A dispatch, invoice or delivery reference opens its order or purchase order.

Timeline charts

The timeline reports group figures into periods that depend on the length of the date range: days for a range under two weeks, weeks up to two months, months up to two years, and years beyond that. The same rule sets the period columns on Stock Sold and Stock Movement.

Sales Timeline and Output Timeline plot value and target bars per period, with Cumulative Value and Cumulative Target lines. Targets come from Settings → Company → Targets, count working days only and apply to the whole organisation, so they disappear as soon as you narrow the report to one customer, account manager or division. Quote Timeline and Purchasing Timeline plot value bars and a Cumulative Value line. There are no quote or purchasing targets.

Exports

Excel and CSV export every row, not only the page on screen, with your filters applied. The file is named after the report, though a few names differ from the card. Omono disables the buttons while it prepares an export.

ONS Survey Data and Quote Conversion have two sections. Excel exports both, each on its own worksheet. The Quote Conversion CSV file holds both tables, one above the other. The ONS Survey Data CSV file holds the commodity code section alone, so use Excel when you also need the monthly figures.

Chart Image saves the chart as a PNG file. It is offered on Sales Timeline, Sales Analysis, Sales Person Performance, Product Margins, Quote Timeline, Quote Conversion, Quote Conversion Forecast, Output Timeline, Cash Forecast, Purchasing Timeline, Purchase Price Inflation, Supplier Performance, Stock Movement and Stock Sold.

Reports run on demand. There is no scheduling or automatic emailing.

If a report cannot be produced

When a report fails, a red Report not produced note with a message appears where the table would be. So an empty table means there was nothing to show.

Message

What to do

The report could not be generated. Please check the filters and try again.

A filter value is invalid or the report hit an error. Change the filters and try again. If it keeps failing, contact us through the chat.

You do not have access to this report.

The report has been withdrawn from the catalogue, for example when you follow an old bookmark.

The report took too long to generate. Please narrow the date range or filters and try again.

Omono stops a report after two minutes. Choose a shorter date range or add filters.

Once a report has started, a short network drop does not fail it; Omono keeps trying for up to thirty seconds. If you leave the page, Omono stops waiting for the result and you must open the report again, so stay on the page while a large report runs.

Divisions in reports

Reports that support divisions offer Customer Division, Supplier Division and a filter for the document's division, labelled Order Division, Quote Division, PO Division, Purchase Order Division or Order/CN Division. Unlike the search screens, reports do not default to your own division. See Divisions.

The page heading has Excel and CSV exports, a Settings button that opens the Xero set-up page, and Run Sync, which starts a sync. If your organisation still holds the sign-up demo data, it first shows Demo Data Still Present, and the sync starts only when you click Run Sync Anyway.

Columns: Date / Time, Severity, Type, Log Message and Actions. Errors and warnings from Xero are listed under the message. Actions links to the record the line is about, and offers View Raw API Data when Omono kept the exchange with Xero. See Connecting Omono to Xero.

Things to know

  • Several reports open with an exclusion already ticked, for example Exclude Zero Value on Sales Analysis and Purchasing Timeline. Untick it if a record you expect is missing.

  • A selection such as an account manager quietly goes back to All when it no longer appears in the results, for example after you change the date range.
