These reports sit under the Purchasing chip in the Reports catalogue. Values marked (base) are in your base currency, converted at the exchange rate stored on each purchase order. See Reports for how to run, filter and export a report.
Purchasing Timeline
Purchase order value by the date each order was raised, with cumulative spend. There are no purchasing targets, and credit notes are not involved.
Filter | What it does |
Date Range | The purchase order date. Defaults to This Month. |
PO Status | Draft, Active, Complete and On Hold are ticked by default. Tick Cancelled to include cancelled orders. |
Supplier, Buyer, Supplier Division, PO Division | Narrow the orders. |
Exclude Zero Value | Ticked by default. |
The chart shows Purchase Value bars and a Cumulative Value line. Columns: PO No, Date, Supplier, Buyer, Reference, Status, PO Division, Supplier Division, Currency, Value and Value (base).
Purchase Line Items
A line-by-line extract of your purchases. Rows sets the basis:
Received (default): one row per delivery line, dated by received date. Deliveries still to come are dated by expected delivery date, so a range that reaches into the future, such as This Financial Year, lists them too.
Ordered: one row per purchase order line, dated by order date, whatever its delivery state.
Filter | What it does |
Received / Due Date Range | The received or expected delivery date. On the Ordered basis it is relabelled Order Date Range and uses the order date. Defaults to This Month. |
PO Status | Ordered basis only. Tick any of Draft, Active (which includes call-off orders), Complete and On Hold. Empty means every status. Cancelled orders are always left out. |
Supplier, Supplier Division, PO Division, Buyer | Narrow the orders. |
PO #, Part No, Title | Text searches. |
Purchase Analysis | One analysis code. |
Only Received | Received basis only. Hides deliveries not yet received. |
Only Invoiced | Received basis only. Only deliveries with a supplier invoice recorded. |
Columns: PO / Delivery, Invoice #, Received Date, Delivery Date, Supplier, Buyer, Part No, Title, Purchase Analysis, Quantity, Currency, Price, Sub Total, Sub Total (base) and Reference. On the Ordered basis the first column is PO No, and Order Date and Status replace Invoice #, Received Date and Delivery Date; Status shows the order's status: Draft, On Order, On Order - Call Off, Complete or On Hold. PO / Delivery opens the purchase order (a delivery has no page of its own), Supplier the supplier and Part No the stock item.
Deliveries
Every supplier delivery you are still waiting for. No date range. Filter by Supplier Division (suppliers in this division) or Purchase Order Division (purchase orders processed by this division).
It lists deliveries not yet received on purchase orders that are On Order, On Order - Call Off or On Hold; draft, complete and cancelled orders are left out. A delivery that is itself on hold is not listed, but the other deliveries on its purchase order are.
Columns: Purchase Order / Delivery, Company Name, Supplier Division, Purchase Order Division, Expected Delivery Date, Buyer, Reference #, Goods Value (base) and Starred (the star you set on the delivery card on the purchase order). Next to the date, a delivery still to come shows Due In N Days, one due today Arriving Today in green, and a late one N Days Overdue in red.
Outstanding Purchase Order Invoices
Received deliveries with no supplier invoice recorded. Also on the Accounts chip. No date range. Filter by Supplier Division or Purchase Order Division, as on Deliveries.
Two tiles show the Total Outstanding PO Invoices count and their Total Value (base). Columns: Purchase Order / Delivery, Company Name, Supplier Division, Purchase Order Division, Received Date and Delivery Value (base). A delivery marked as invoice unavailable does not appear. See Supplier invoices.
Purchase Price Inflation
How the price you pay for each part has moved, per supplier, from purchase order lines placed in the range. Every purchase order that is not cancelled counts, drafts and on-hold orders included, so a draft with a speculative price can become the Latest Price. Also on the Accounts chip. Filters: Order Date (the purchase order date; defaults to This Year) and Search (part number, stock item title or supplier name).
The chart shows Cost Impact and Price Change % for the 15 rows with the largest Cost Impact (the top of the table in its default order), one bar per part and supplier; a change above 200% is capped on the chart, but the tooltip gives the true figure. Columns: Part No, Supplier, First Price (base), Latest Price (base), Change %, Cost Impact (base), Quantity Bought, Spend (base) and Orders.
Each row is one part from one supplier, so prices from different suppliers are never compared. Lines priced at zero or less (free of charge, certification and note lines) are ignored. Change % compares the earliest and latest order in the range; with only one order it shows a dash, as does Cost Impact, and the row sits at the bottom. Cost Impact is what you spent above the first price across everything bought in the range, so its sign can differ from Change %. Rows are sorted by Cost Impact, largest first.
Supplier Directory
One row per supplier with terms and activity for a period, including suppliers with no activity. Also on the Accounts chip.
Filter | What it does |
Activity Date Range | The period for the spend and orders columns. Defaults to This Year. |
Search | Supplier name, accounts email, industry or postcode. |
Supplier Division | See Divisions. |
Only Suppliers With Spend | Hides suppliers with no spend in the period. |
Include Archived | Adds archived suppliers. |
Columns: Supplier, Archived, Accounts Email, Industry, Terms (type, with the days or day of month beneath), Currency, Last PO (All Time), Orders Placed In Period, Orders Value In Period (base) and Spend In Period (base). Spend is deliveries with a supplier invoice recorded, by invoice date; Orders Placed counts purchase orders raised in the period, excluding cancelled ones.
Supplier Performance
Delivery punctuality and lead time per supplier for the deliveries received in a period. Filters: Received Date Range (defaults to This Month), Supplier, Supplier Division, Supplier Name and Only Late Or Overdue (suppliers with a late delivery in the period or an overdue delivery now).
The chart shows On Time and Late counts for the top suppliers. Columns: Supplier, Deliveries Received, On Time, Late, On-Time %, Avg Days Late, Avg Lead Time (Days), Median Lead Time (Days), Lead Time Samples, Value Received (base), Outstanding Now, Overdue Now and On Hold Now.
A delivery is on time when received on or before its expected delivery date, by calendar day. Lead time is the whole days from the purchase order date to the first delivery received against it; later deliveries on the same order are not measured, and call-off orders are left out. The Now columns are a snapshot of today, not of the date range, and count deliveries on hold as outstanding. Reorder Suggestions measures lead time over a fixed twelve months, so it can show a different figure for the same supplier.
Supplier Quality Management
Titled Supplier Quality Management Report on the page. It lists every supplier with Monitored Supplier ticked in its Supplier Quality details, sorted by review date. No date range.
Filter | What it does |
Status Filter | All Entries, Overdue Review Date, Expired ISO Certificate or Needs Attention (either of the two). |
Type Of System | One quality management system type. |
Supplier Division | See Divisions. |
Exclude Archived | Ticked by default. |
A tile shows the Total Suppliers count. Columns: Company Name, Type Of System, Supplier Division, Review Date, ISO Certificate Received, ISO Certificate Expiry and Star Rating. An overdue review date and an expired ISO certificate show in red, and the status filters select on those marks. See Companies: customers and suppliers for where these details are recorded.
Things to know
The Excel and CSV exports carry columns the screen does not show, such as the stock item's location, the exchange rate and the invoice date on Purchase Line Items.
The division columns on Deliveries, Outstanding Purchase Order Invoices and Supplier Quality Management appear only when a listed row has that division. The division filters on the first two do not appear until your organisation has divisions, so without them those reports have no filter bar.
