Customer reports

Every filter and column on the Customer Directory, Customer Spend Analysis, New Customers and Contacts reports.

Written by Chris Hearn

These reports sit under the Customers chip in the Reports catalogue. Values marked (base) are in your base currency. See Reports for how to run, filter and export a report.

Customer Directory

One row per customer with account details and turnover for a period. Customers with no activity stay in the list.

Filter

What it does

Activity Date Range

The period for the turnover columns. Defaults to This Month.

Customer

Name search.

Account Manager, Industry, Customer Division

Narrow the customers.

Only Customers With Orders

Shows customers that have ever placed an order that was not cancelled.

Include Archived

Adds archived customers.

Exclude Zero Turnover

Hides customers with no turnover in the period.

Turnover Columns

Single Period (default), Per Month or Per Financial Year. The last two add a net turnover column for each month or financial year in the range that has invoiced sales or completed credit notes. A period only partly inside the range is labelled (partial).

Columns: Customer, Archived, Not Flagged, Account Manager, Industry, City, Country, Credit Limit, Currency, Created On, Last Order Date, Orders Received (base), Sales Invoiced (base), Credit Notes (base), Turnover (base), then any per-period columns. Not Flagged marks a company that no longer has the Customer tick but traded in the period. City and Country come from the company's accounts address.

Sales Invoiced is invoiced dispatches by invoice date. Credit Notes is completed credit notes by the date raised. Turnover is sales less credits. Orders Received is orders raised in the period, excluding cancelled orders. The Excel and CSV exports add the same figures in the customer's currency, plus the accounts address, Website, Invoice Terms Days, Invoice Terms Type and Has Placed Order.

Customer Spend Analysis

Spend per customer for one period, with an optional second period to compare against. Spend is the value of orders raised in the period, excluding cancelled orders.

Filter

What it does

Period 1

The main period. Defaults to This Month.

Period 2

The comparison period, None by default. Set both dates to see the comparison. Choose None again to switch it off.

Customer Division

Only customers in this division appear. Their orders from every division are counted.

Order Division

Only orders in this division are counted. Customers from any division can appear.

Show Additional Company Details

Adds Account Manager, Industry, Segment, Type and, when a customer is in a division, Division.

Show Advanced Statistics

Adds Lowest Order Value, Highest Order Value, Mean Order Value and Median Order Value for each period.

Exclude Zero Spend

Ticked by default. Hides customers whose spend is zero in every period shown. Only customers who ordered in one of the periods appear at all, so unticking it never adds a customer with no orders.

Exclude Archived Customers

Ticked by default. Untick it to include archived customers.

Tiles: Total Customers and Period 1 Total Spend. Once Period 2 is set, two more appear: Period 2 Total Spend and Change in Total Spend, the percentage change from Period 2 to Period 1 (hidden when Period 2 spend is zero).

Columns are grouped. Company Details holds Company Name and Account No, plus any extra details. Period 1 holds Position (rank by spend, or N/A with no spend), Spend (base), Order Count and any advanced statistics. Period 2 repeats the same columns. Period Comparisons holds Position Change (places gained or lost) and Spend Variance (base).

New Customers

Customers whose record was created in the date range, with the orders and quotes they have placed. The page is titled New Customers Report. There is no archived filter, so archived customers are included.

Filter

What it does

Date Range

When the customer record was created. Defaults to This Month.

Account Manager, Country, Customer Division

Narrow the customers.

Exclude Zero Order Value

Hides customers whose Orders Total Value ▹ This Period is zero.

Exclude Zero Quoted Value

Hides customers whose Quotes Total Value ▹ This Period is zero.

Tiles: Total New Customers, Total Orders Value ▹ This Period (base) and Total Quotes Value ▹ This Period (base).

Columns: Company Name, Account Manager, Customer Division (only when a new customer is in a division), Orders Placed ▹ This Period, Orders Total Value ▹ This Period (base), Orders Placed ▹ All Time, Orders Total Value ▹ All Time (base), Quotes Raised ▹ This Period, Quotes Total Value ▹ This Period (base), Quotes Raised ▹ All Time, Quotes Total Value ▹ All Time (base) and Creation Date. Cancelled orders are not counted. Quotes in every status count.

Contacts

Every contact with their details and all-time quote and order activity. Also on the Purchasing chip.

Filter

What it does

Search

Matches first name, last name, email, company name, job title or either telephone number.

Company Type

All, Customers or Suppliers.

Account Manager, Department

Narrow the contacts. Account Manager is the company's, not the contact's, so it picks whole companies and every contact at one company shows the same name.

Only With Quotes Or Orders

Hides contacts with no activity.

Include Archived

Adds archived contacts and contacts whose company is archived. The Archived column shows only the contact's own flag, so a row from an archived company can still read as not archived.

Columns: First Name, Last Name, Job Title, Department, Email, Telephone, Company, Customer, Supplier, Account Manager, Address Line 1, Address Line 2, City, County, Postcode, Country, Quotes, Orders, Last Order, Total Ordered (base) and Archived. The address is the one linked to the contact, which can be any of the company's addresses, the accounts address included; it is blank when the contact has none. Cancelled orders are not counted. A quote counts on the revision turned into an order, or the latest revision if it was not won.
