These reports sit under the Quotes chip in the Reports catalogue. Each report counts a quote once, however many revisions it has: the revision that became the order when the quote was won, otherwise the latest. The Quote Conversion Forecast always uses the latest revision, because it lists only draft and active quotes. Values marked (base) are in your base currency. See Reports for how to run, filter and export a report.
Quote Timeline
Quote value over time, with a statistics strip and the underlying quotes.
Filter | What it does |
Creation Date | The date the quote was created. Defaults to This Month. |
Status | Draft and Active are ticked by default. Tick Won and Lost to list them. |
Customer, Account Manager, Sales Person, Segment, Industry, Type, Country | Narrow by the customer or the quote. |
Customer Division, Quote Division | See Divisions. |
Exclude Zero Value | Hides quotes with no value from the table, chart and strip. |
The statistics strip counts every quote created in the period, in every status; the Status filter narrows only the table and chart. It shows Total Quotes, Draft, Active, Won, Lost, Conversion Rate (won divided by total), Win : Lost, Win % Of Decided (won divided by won plus lost) and, when the period has lost quotes, Lost Reasons. The strip does not appear when no quotes were created in the period.
The chart shows Quote Value per period and a Cumulative Value line.
Columns: Quote #, Company, Contact, Reference #, Status, Date Created, Revision Date, Revision No, Validity, Expected Award Date, Conversion Probability %, Account Manager, Sales Person, Segment, Industry, Type, Country, Total Value (base), Total Value, Currency and Lost Reason. Customer Division appears only when a listed quote's customer has a division, Quote Division only when a listed quote has one, and Commission Referrer, Commission Rate % and Commission Value (base) only when a listed quote has a commission. Revision No shows "(awarded)" when the quote was won on that revision. Click the quote number to open the quote.
A quote is dated by its creation date but valued from the reported revision, so a quote revised upward months later still counts in its original month, at the new value.
Quote Conversion
How many quotes turn into orders, by month for this financial year and by financial year against past years. There is no date range.
Filter | What it does |
Years Compared | How many financial years the year table shows: 3 Years, 5 Years (default) or 10 Years. |
Account Manager, Sales Person, Quote Division | Narrow the quotes. |
Quotes are grouped by the month they were created. If your financial year does not start on the first of a month, rows cover part-month spans and show a date range instead of a month name. Orders are the quotes from that month that were later won, whenever that happened. Conversion is won divided by created, by value and by count. Recent months still have quotes open, so each row also shows Still Open and Decided Conv %, which is won divided by won plus lost and ignores open quotes.
Monthly table columns: Month (FY ...), Quote Value (base), Order Value (base), Still Open Value (base), Conversion By Value, Decided Conv %, Quotes, Orders, Still Open, Conversion By Qty and Decided Conv % (Qty). All twelve months appear; months still to come show zero values and N/A for conversion.
The financial year table has one row per year. Year To Date (to <date>) measures every year to the same day of its financial year, so the years compare like for like. Year End shows the full year. Under each are the same figures as the monthly table, with the conversion columns labelled Conv % and Conv % (Qty). The current year has no year-end figures yet.
Two charts sit above the tables, one by value and one by count. Each has one group per financial year, oldest on the left: bars for the year-to-date Quote Value and Order Value (Quotes and Orders on the count chart) and lines for the year-to-date Conversion % and Decided Conv %. The financial year comes from Settings → Company → Accounting Period.
Quote Conversion Forecast
The order value you can expect from live quotes, weighted by each quote's Conversion Probability %. It looks forward from today.
Filter | What it does |
Expected Award Date | Quotes whose expected award date falls in the range. Presets run from Remainder of This Month (default) to Next 3 Years. |
Chart Variant | Conversion Probablity Weighted Value (default), Total Value Stacked By Probablity Level, Total Value Stacked By Account Manager or Total Value Stacked By Sales Person. |
Minimum Probability %, Maximum Probability % | Pick from your conversion probability bands. They default to 0% and 100%. Quotes with no probability set are always listed. |
Status | Draft and Active only, both ticked by default. |
Customer, Account Manager, Sales Person, Segment, Industry, Type, Country, Customer Division, Quote Division | Narrow the quotes. |
Exclude Zero Value | Hides quotes with no value. |
Two notices can appear above the chart. One says how much quote value (and how many quotes) has no expected award date and so is not shown. The other says how many listed quotes have no conversion probability and are weighted at zero. The stacked-by-probability chart shows those quotes as Not Set.
Columns: Quote #, Company, Contact, Reference #, Status, Date Created, Latest Revision Date, Revisions, Validity, Expected Award Date, Conversion Probability %, Account Manager, Sales Person, Segment, Industry, Type, Country, Weighted Value (base), Weighted Value, Total Value (base), Total Value and Currency. Customer Division appears after Country only when a listed quote's customer has a division, and Quote Division only when a listed quote has one. Weighted Value is the total value multiplied by the conversion probability, so a £10,000 quote at 60% counts as £6,000.
Quote Line Items
One row per line of each quote, from the awarded or latest revision, dated by the quote's creation date.
Filter | What it does |
Quote Date Range | Defaults to This Month. |
Quote Status | Tick any of Draft, Active, Won and Lost. Leave it empty for all. |
Customer | One customer. |
Search | Part number, product title, customer name or quote number. |
Columns: Quote No, Rev, Quote Date, Status, Customer, Part No, Title, Sales Analysis, Quantity, Currency, Unit Price, Discount %, Sub Total, Sub Total (base), Margin %, Last Cost, Last Cost (base) and Stock / Non Stock. Margin % and Last Cost are the figures stored on the line when it was quoted. Last Cost is in the quote's currency. The Excel and CSV exports add the sales person, the exchange rate and the base-currency unit price.
Things to know
If quote auto-close is on, the quotes it closes count as Lost with the reason chosen in the setting, so one reason can dominate Lost Reasons.
