Output and accounts reports

Every filter and column on the Output Timeline, Proforma Payment Status, Cash Forecast and ONS Survey Data reports.

Written by Chris Hearn

In the Reports catalogue, Output Timeline sits under the Output chip, ONS Survey Data under Accounts and Output, and Proforma Payment Status and Cash Forecast under Accounts and Sales. Values marked (base) are in your base currency. See Reports for how to run, filter and export a report.

Output Timeline

Invoiced value over time against your output targets: one row per invoiced dispatch, dated by invoice date, with completed credit notes listed and subtracted.

Filter

What it does

Date Range

Invoice date, or the date a credit note was raised. Defaults to This Month.

Customer, Account Manager, Industry, Type, Segment, Country

Narrow by the customer record.

Invoice Bank Account

Customers with this Invoice Bank Account on their record.

Customer Division, Order/CN Division

Exclude Zero Value

Hides zero-value invoices and credit notes.

The chart shows Output Value and Output Target bars with Cumulative Value and Cumulative Target lines. Each target bar is the daily target times the open working days in the period, so closed days and the working week move it. Any customer, account manager, industry, type, segment, bank account, country or division filter removes the target series, because a target belongs to the whole business. See Reports for where targets are set.

Columns: Invoice No, Date, Company, Order No, Customer Order No / Ref, Account Manager, Type, Industry, Segment, Country, Customer Division, Order/CN Division, Currency, Invoice Bank Account, Goods Value (base), VAT (base, using your tax label), Invoice Total (base), Commission Referrer, Commission Rate %, Commission Value (base), Cost Of Goods Sold (base), Gross Profit (base), Gross Margin, and Goods Value, VAT, Invoice Total, Cost Of Goods Sold and Gross Profit in the document's currency. The commission and division columns appear only when a row has that data. A credit note row has a blank Invoice No, a CN- number under Order No, negative values, and zero cost and profit.

The dashboard's Output ring counts shipped dispatches by dispatch date, less completed credit notes, so it can differ from this report. See The dashboard.

Proforma Payment Status

Every unshipped dispatch for a customer on proforma invoice terms, and whether it has been paid. No date range. Filters: Customer; Payment Status (Awaiting Payment and Payment Received, both ticked by default); Customer Division and Order Division (see Divisions).

It covers dispatches on orders that are Draft, On Order, On Hold or On Order - Call Off. The orders list filter calls On Order and call-off orders Active.

Columns: Order / Dispatch No, Dispatch Date, Company Name, Currency, Customer Division, Order Division, Invoice Total (ex VAT), Invoice Total (inc VAT) (both use your tax label) and Payment Status, green for Payment Received and red for Awaiting Payment. The division columns appear only when a row has one. Mark a proforma as paid on the dispatch; see Invoices and proforma invoices.

Cash Forecast

The money your open order book should bring in, by the month it falls due. Every unshipped dispatch on an order that is not draft or cancelled gets a payment due date. It is not a list of unpaid invoices.

Filter

What it does

Due Within

All, Next 30 Days, Next 60 Days, Next 90 Days or Next 12 Months: dispatches due between today and the end of the window. Overdue dispatches always stay. Defaults to All.

Search

Order or dispatch number, company name, customer reference or sales person.

Overdue Only

Only dispatches past their due date.

The due date is the customer's invoice terms applied to the dispatch date; a day of the month that does not exist (the 31st, say) becomes the last day of that month. Zero-value dispatches are left out.

The summary beside the heading shows the amount due from today, the amount already overdue and, when a paid proforma is listed, money already received. The chart has one Due bar per month, with everything overdue in a single Overdue bar at the start.

Columns: Order/Dispatch, Company, Workflow Status, Terms (type, with the days beneath), Payment Due (red when overdue), Proforma, Invoice Total (base) and Gross Profit (base). A paid proforma stays in the list but is left out of the totals and the chart. The Excel export adds the dispatch date, sales person, customer reference, terms days and type, due month, an Overdue column, and Goods Value and Tax (base).

ONS Survey Data

Figures for two Office for National Statistics returns. Commodity and turnover figures come from invoiced dispatches; new-order figures from the orders raised in the month. Filters: Invoice Date (defaults to This Year) and Commodity Code Search, which narrows the first section by code or description.

Invoiced Sales By Commodity Code (for PRODCOM): one row per commodity code with Commodity Code, Description, Net Value (base), Credits (base), Quantity, UK Value (base), Export Value (base), Assembly Value (base) and Products. The code comes from the order line, or the stock item if the line has none; lines with no code group under No Commodity Code, so add codes to those stock items. A credit note is deducted from the stock item's current code (or No Commodity Code), so it can land in a different row from the sale, but the section total stays right.

Monthly Figures (Monthly Business Survey): one row per calendar month with Month, Net Turnover (base, excluding VAT), Export Turnover (base), Credits (base), New Orders (base) and Export New Orders (base). Every month in the range appears, even if empty. A new order counts in the month it was raised, at full value, drafts included; cancelling it later removes it.

A sale is an export when the customer's Country differs from your organisation's, so check the Country on your overseas customers before you file. Both sections deduct completed credit notes in the month the credit note was raised, so a credit note raised in a month you have already filed, but completed later, changes that month's figures.

Excel exports both sections; CSV exports the commodity code section only. See Reports.
