Your first steps in Omono

A checklist for setting up a new organisation, from company details, reference data and team members to your first customer, supplier, stock item and documents.

Written by Chris Hearn

When you register, Omono creates your organisation with sensible defaults: tax rates, a warehouse, workflow statuses, analysis codes, email templates, task types and more. This checklist takes you through the settings worth reviewing and the records you need before you raise your first quote or order.

If you have not registered yet, see Registering and signing in. Steps marked (admin) need an Admin User. The person who registered is one.

1. Check your company details (admin)

Go to Settings → Company. Each box opens a form, except Logo, which explains how to send us your logo.

Box

What to check

Company Profile

Company name, country, time zone, telephone, main email, website, registration and VAT numbers, and the sales, purchasing and accounts team email addresses and telephone numbers. Email templates can copy a team address in as CC or BCC. Replies to automatic invoice emails go to the accounts team address unless the Sales Invoice Email template sets its own.

Logo

Omono adds your logo for you. Email the file (PNG, JPG or PDF, at least 500 × 200 pixels, white background preferred) and your company name to [email protected]. It prints on your paperwork.

Addresses

Your accounts address and any delivery addresses. Purchase orders are delivered to one of these, unless you drop-ship to a customer.

Bank Accounts

The account details printed on invoices and proformas. Add one per currency you invoice in.

Accounting Period

Your financial year end. It sets the financial year presets in reports and must match Xero if you connect it.

Document Numbers

The next number for quotes, orders, invoices, credit notes and purchase orders. Set these if you are continuing a sequence from another system. Numbers can only go up.

Working Week, Closed Days and Targets

The days you trade, and daily sales and output targets per month. Omono multiplies each daily target by the working days in the month for the dashboard rings and the timeline reports.

Divisions

Optional. Set up divisions if parts of your business need their own addresses and paperwork. See Divisions.

2. Review the reference data (admin)

Go to Settings → App. Use the Filter box to find a setting quickly. Check these first:

Box

What to check

Tax Rates and Currencies

Check the tax rates. Enable each currency you buy or sell in and set its exchange rate. The base currency you chose when you registered cannot be changed.

Sales Analysis Codes and Purchase Analysis Codes

Every line item carries one. They group your sales and purchases in reports and map to Xero accounts.

Warehouses

Every stock item and assembly belongs to one. Never-diminishing items do not.

Workflow Statuses

The steps a dispatch moves through on the Workflow board. The box lists only the statuses you can change (rename, reorder, add or archive); they start as Picking and Processed. Order Review, Shipped and On Hold are built in and are not shown here.

Industries, Types and Customer Segments

Every company needs an industry and a type, and every customer a segment. Omono pre-fills a default.

Sales Quote Validity and Lost Quote Reasons

Needed when you create or lose a quote.

Couriers

Switch on the carriers you use, or add your own.

Unit Pricing

2 or 4 decimal places for sales and purchasing prices. You cannot go back to 2 after you choose 4.

Internationalisation

Change the tax label from VAT if you trade under another name, such as MVA, and switch on local address formats.

See Settings overview for every box on this page.

3. Add your team (admin)

Go to Settings → Team and click the + beside Team. Choose Admin User for people who need Settings, or Standard User for everyone else. Make someone an Operator if you assign them to dispatches on the Workflow board: every user can pick and ship, but only operators can be assigned to a dispatch. For the steps, see Add a user to your team; for editing and archiving users, see Team, users and roles.

4. Set up your templates (admin)

Go to Settings → Templates. Check the email templates for quotes, orders, invoices, dispatches, credit notes and purchase orders, and the paperwork options such as footers and totals. See Templates, paperwork and email templates.

5. Create a customer and a supplier

Click the + beside Companies. A company can be a customer, a supplier or both, and the form asks for its accounts address and first contact at the same time. For the steps, see Create a company; for every field, see Companies: customers and suppliers. You can also import companies, addresses and contacts from a spreadsheet; see Importing data.

6. Create your stock items

Click the + beside Stock and choose the type: Stock, Assembly or Never Diminishing. An item keeps its type for life, so choose with care. Tick Can Sell on any stock or never-diminishing item you want to quote or sell; an assembly can always be sold. For the steps and which type to choose, see Create a stock item; for every field, see Stock items and stock types. Stock, assemblies, bills of materials and supplier prices can also be imported.

7. Raise your first documents

See How documents move through Omono for the rules these documents share.

8. Connect Xero (admin, optional)

Go to Settings → Connect and follow Connecting Omono to Xero.

Trial accounts

During a trial, email sending is switched off, and the email form says so. Contact us through the chat to switch it on.

When you have finished exploring, an admin can start clean with Wipe App Data in the Danger Zone at the bottom of Settings → App. It deletes every company, contact, stock item, document, note and uploaded file, including the attachments on email templates and tasks; your settings, users, reference data and tasks are kept. It is available only during the trial or while the sign-up demo data is still there. Do it before you connect your live Xero organisation, or the first sync sends the demo data to Xero. See Settings overview.
