A sales order is a confirmed customer order. Omono splits every order into one or more dispatches. Each dispatch is allocated, picked, shipped and invoiced on its own. This article covers the Sales Orders screen, the order page, its statuses, cancelling and copying an order, and what prints on the PDF.
The Sales Orders screen
Click Sales Orders in the navigation bar. Each card shows the order number, customer, customer order number, date and value. Draft orders appear faded. On hold and call-off orders show an icon. A green dot marks a complete order and a red dot marks a cancelled one. The heading shows how many orders match and their total value in your base currency.
Filter | What it matches |
Filter | The order number, customer name or customer order number. |
Status | Draft, Active (On Order and On Order - Call Off), Complete, Cancelled or On Hold. Only Draft and Active start selected, so tick the others to see orders that are on hold, complete or cancelled. |
Date Range | The date the order was created. |
Flag, Stock # (Advanced) | Orders with that flag colour, or that contain the item. |
Tag #, Serial # (Advanced) | That tag number on a line, or that serial number on a dispatch line, shipped or not. |
Invoice # (Advanced) | The order behind an invoice. Type 1234, not INV-1234. |
Salesperson, Account Manager, Division (Advanced) | From the order and the customer. Division starts on your own division. |
Call Off, Sort By (Advanced) | Call-off orders only. Sort By lists the newest order first, or sorts by order value in your base currency, lowest or highest first. |
Creating a sales order
Most orders start as a won quote. See Win a quote and turn it into an order. To raise an order directly:
Click + next to Sales Orders in the navigation bar, or click Raise SO on the customer's page.
Fill in the Add New Sales Order form.
Click the tick to save. The order is created as a Draft.
Field | Meaning |
Customer, Contacts, Delivery Address | The same as on a quote (see Sales quotes). The Delivery Address list ends with — Customer Collection —. See Customer collection below. |
Customer Order # | The customer's purchase order number. Prints on the PDF as Reference #. |
Our EORI #, Incoterm | See International trade. |
Division | Shown only when you have divisions. See Divisions. |
Sales Person | Defaults to you. |
Exchange Rate | Foreign currency customers only. |
Call Off | Tick for a blanket order called off in several deliveries. See Call-off orders. |
Commission | Shown only when you have commission schemes. |
An admin can make Customer Order # mandatory with Set "Customer Order #" field as mandatory in Settings → App → Sales Order Settings. The duplicate warning switch is in the same box.
Duplicate customer order numbers
Omono can warn you when a Customer Order # is already on another order for the same customer. An admin switches it on with Warn when a customer order number is already used by the same customer. It is off by default.
Omono then checks the number as you type on the Add New Sales Order, Edit Sales Order and Copy Sales Order forms, and on the Won form of a quote. If the customer has another live order with that number, the label shows Duplicate? in amber. Hover over the small i icon to see those orders, with a link to each.
The warning never stops you saving. Use it to check whether the customer has sent the same purchase order twice. The check ignores letter case, spaces at the start or end, cancelled orders and the order you are editing or copying.
The order page
The panel at the top shows the header details: customer and contact (links to the company page and contact card), Date (when the order was created), Salesperson and Currency. Customer Order #, Commission and the EORI, incoterm and division details show when set. Exchange Rate shows only when it is not 1. Click the flag next to the order number to colour-code the order. See Navigating Omono.
Status: see Statuses below. On a draft, the information icon reminds you to Print this Sales Order to make it active. A collection order shows Delivery: Customer Collection.
Quote: the quote this order was won from. Click it to open that quote revision.
Linked PO #: every purchase order raised from this order. See Linked purchase orders and drop shipping.
Line items
Click Add Line Item in the action bar or under the list. See Sales line items, pricing and margins.
Each card shows Price, Total, Profit, Margin, Quantity, Outstanding (not yet shipped) and Delivered (shipped). Hover over the small i for the full detail. The Normal / Compact switch above the list shows every value or only Price, Total and Qty.
Click the pencil on a card to edit the line. It is hidden on complete and cancelled orders.
Quantity cannot go below the quantity already on dispatches. Take the item off the dispatch first.
Delete Line Item is greyed out while the line is on any dispatch.
Once a line is on an invoiced dispatch, only its quantity can change.
Drag cards to reorder them. Reordering is locked once the order has a dispatch.
Adding lines to an active or complete order
You can still add lines while an order is On Order. Click Add Dispatch afterwards so the new line reaches the Workflow board. Until then the order cannot be emailed or printed again.
You cannot add a line to a Complete or Cancelled order. Raise a new sales order, or Copy the complete order and delete the lines you do not need.
Creating dispatches
Click Add Dispatch. In the Add New Dispatch form, choose which items and quantities go in this dispatch and on what date. Create one dispatch for everything, or several for part shipments. Unless it is a call-off order, every item must be on a dispatch before the order can be sent. See Dispatches.
Making the order active
Click Download or Print, or send the order with Email. The status changes from Draft to On Order (or On Order - Call Off) and the dispatches appear on the Workflow board on their dispatch dates. See The Workflow board. Preview, or closing the Email form without sending, does not activate the order.
Customer collection
Choose — Customer Collection — at the end of the Delivery Address list when the customer collects the goods. You do not need to fill in anything else. To change your mind, open Edit Sales Order and choose a real address.
Delivery: Customer Collection then shows in the header details and prints in place of the delivery address on the sales order PDF and the delivery note. The invoice, proforma and certificate of conformity do the same when their delivery address option is on. A copy of a collection order, or an order won from a collection quote, is a collection order too. Raise Linked PO does not offer drop shipping to the customer on a collection order.
Editing the order
Click Edit to open Edit Sales Order. The form is the same as when you created the order, with the Invoice Address under Customer and the + buttons beside Contacts and Delivery Address. The differences:
Customer cannot be changed. Copy the order to raise it for another customer.
The form has a Cancel Sales Order button. See Cancelling an order below.
Exchange Rate is greyed out for base currency customers, and once any dispatch has been invoiced. Changing it recalculates the order and dispatch totals and writes a note.
Changing Customer Order # updates every dispatch and the Workflow board.
Ticking or unticking Call Off on an active order switches its status straight away between On Order and On Order - Call Off.
Edit is hidden on complete and cancelled orders.
Statuses
Status | Meaning |
Draft | Being prepared. Not on the Workflow board. Can be deleted. |
On Order | Active. Dispatches are on the Workflow board. |
On Order - Call Off | An active call-off order. See Call-off orders. |
On Hold | At least one dispatch is on the On Hold workflow status. |
Complete | Every line is fully dispatched and every dispatch is shipped. |
Cancelled | Cancelled before anything shipped. |
Omono re-checks the status whenever a dispatch ships, or a line is edited or deleted on an active order. Deleting the last line does not change it. On Hold returns to On Order only when no dispatch is still on hold.
Cancelling an order
Click Edit and then Cancel Sales Order.
Omono warns that allocated and picked dispatches will be returned to stock. Click Cancel Order to confirm, or Cancel to go back.
Every dispatch goes back to Order Review with its stock unpicked and unallocated. The order becomes Cancelled, and Omono writes a note and an Activity Feed entry.
A cancelled order cannot be reopened. Add Line Item, Add Dispatch, Edit and Raise Linked PO disappear, and the dispatches and BOM window are read-only. You can still email, download, print and Copy it, and open Documents, Notes, Links and Tasks. The PDF carries no cancellation marking, so take care not to send one to the customer by mistake.
You cannot cancel an order once any dispatch has shipped and been invoiced. Cancel Sales Order is greyed out. To reverse an invoiced dispatch, raise a credit note. See Credit notes.
Closing an order after a part shipment
If the customer cancels the rest of an order after a dispatch has shipped, reduce the order to what was delivered:
Delete every dispatch that has not shipped: click its edit icon, then Delete Dispatch. This only works while the dispatch is on Order Review, so move it back first.
Open each line and reduce Quantity to the quantity on the shipped dispatches.
Use Delete Line Item to delete every line that is no longer on any dispatch.
When every remaining line is fully shipped, the order moves to Complete by itself. Write the reason in Notes. See Notes, documents and links.
The BOM window
Click BOM to see every line with its quantity and how many are Available. Click an assembly's item letter to show its components and how many of each the order needs. Click the edit icon on an assembly to add, remove or change components for this order only. See Assemblies and bills of materials.
The edit icon disappears once the assembly's line is on a dispatch that has left Order Review. Move the dispatch back to Order Review to change the BOM; a shipped dispatch cannot move back, so its BOM is fixed. On a cancelled order the BOM is read-only.
A customised assembly shows N/A under Available. A warning icon marks an assembly with zero-cost components. See Stock costing and valuation.
Click the print icon for a BOM PDF of the whole order. An admin can add each line's description with Show Line Item Descriptions On The Order Level BOM List in Settings → Templates → Picking Paperwork.
The action bar
Button | Notes |
Add Line Item, Edit | Hidden on complete and cancelled orders. Edit also holds Cancel Sales Order. |
Add Dispatch | Hidden once every item is on a dispatch, on orders with no lines, and on complete and cancelled orders. |
Email, Download, Print, Preview | Need every item on a dispatch, unless the order is call-off. Hidden on orders with no lines. Preview is for drafts only and does not activate the order. See Sending documents by email. |
BOM | View or customise the bill of materials on assembly lines. |
Documents, Notes, Links, Tasks | See Notes, documents and links and Tasks. |
Raise Linked PO | Buy what this order needs, or drop ship it. Hidden on complete and cancelled orders, and on orders with no lines. See Linked purchase orders and drop shipping. |
Copy, Delete | See below. Delete is for draft orders only. |
Copying an order
Click Copy. The Copy Sales Order form opens with the header details filled in. Change what you need and click the tick to save.
The copy is a new draft order with the same lines and BOM customisations, for whichever customer you leave in the Customer field. It has no dispatches; unless it is a call-off order, put every item on a dispatch before you email or print it. Prices are recalculated from each item's current cost and the line's margin, so they can differ. Links to purchase orders are not copied. A note records the source order.
Deleting a draft order
Click Delete. Omono warns Deleting this Sales Order cannot be undone! Deleting removes the order's line items, dispatches, notes, documents, Activity Feed entries and linked tasks. A quote the order was won from loses its link to the order and gets a note, but stays Won. You cannot win it again, so raise a new sales order by hand if you need one. Linked purchase orders lose their link and get a note.
What prints on the sales order
The PDF is headed Sales Order #: SO-1234 and saved as SO-1234.pdf. See What prints on your PDF documents for the shared parts.
Section | Content |
Invoice Address | The contact name, then the customer's accounts address. |
Right-hand block | Page, Date (when the order was created), Account #, Reference # (the Customer Order #, or N/A) and Dispatch Date (See pages below with several dispatches, N/A with none). EORI numbers and Incoterm print when set. |
Line table | Line, Part # / Description, Quantity, Unit Price and Amount. List Price and Discount columns are added if any line has a discount. Under each line, Omono prints the MPN (when switched on), description, tag number, commodity code and country of origin. |
Delivery Address and totals | The delivery address, or Delivery: Customer Collection. The totals follow Settings → Templates → Sales Order Paperwork. |
Dispatch schedule | A further page lists each dispatch with its date, lines and quantities. |
Preview prints **** DRAFT PREVIEW COPY - FOR INTERNAL USE ONLY - DO NOT SEND TO CUSTOMER **** across the page and names the file DRAFT-SO-1234.pdf.
Tasks that block shipping
A task linked to a sales order can be marked Blocks Shipping. Until it is completed, no dispatch on that order can ship. See Tasks. Omono also refuses to ship when the customer's account is On Stop, and when a proforma customer's payment has not been marked as received. See The Workflow board for the checks Omono runs when you ship, and Invoices and proforma invoices for proforma customers.
