Raise a purchase order

Order from a supplier: add the lines, put them on a delivery and email or print the PO to place it on order.

Written by Chris Hearn

A purchase order (PO) is the document you send to a supplier to buy stock. Before you start, the supplier must exist in Companies and be marked as a supplier, and every item you buy must exist in Stock. You cannot add an assembly; buy its components instead.

  1. Click + next to Purchasing in the navigation bar. The Add Purchase Order form opens.

  2. Type the Supplier name or account number and pick from the list.

  3. Check the Contact and Delivery Address; each is selected for you if there is only one.

  4. Enter a Reference #, for example a job number. Buyer defaults to you.

  5. Click the tick to save. The new PO opens in Draft status.

The Add Purchase Order form.

  1. Click Add Line Item and find the item by Part #, Supplier Part # or Title.

  2. Check the Quantity, Purchase Analysis and Price, then click the tick to save.

  3. Click Add Delivery and book every line's full quantity onto a delivery. A delivery is a promised date, not goods that have arrived. On a standard PO, Email, Download, Print and Preview do not appear until every line is on a delivery.

  4. Click Email to send the PO, or Download or Print to produce the PDF.

Either action changes the status from Draft to On Order and adds the line quantities to On Order on each stock item (never-diminishing items have no stock level, so they do not change). Preview does not make the PO active.

For every field and what prints on the PDF, see Purchase orders.
