Companies: customers and suppliers

Create and manage customer and supplier records, including the company form rules, payment terms, credit limits, discounts, bank details, flags, on stop, supplier quality, archiving and what is sent to Xero.

Written by Chris Hearn

A company is any organisation you trade with. It can be a customer, a supplier, or both. Every quote, order, credit note and purchase order is raised against a company, so the company must exist first.

The Companies screen

Click Companies in the navigation bar. Each card shows the company name and flag, the telephone and postcode of its accounts address, the Account #, and Customer and Supplier tags. A customer on stop shows a red On Stop icon. Click a card to open the company.

The Companies screen with its filters and company cards

Filters

Filter matches the company name, account number or postcode. Relationship shows All, Customer or Supplier. Click Advanced for more:

Creating a company

  1. Click + next to Companies in the navigation bar. If the bar is collapsed, hover over the Companies icon and click + in the tooltip. The Add New Company form opens.

  2. Enter the Company Name. Omono warns you if the name already exists.

  3. Click Accounts Address and fill in the address. This is the invoice address. It prints on the customer's documents, and its accounts email is offered as the Accounts Department recipient when you email a document. Every company has exactly one accounts address.

  4. Click Contact and fill in the first contact.

  5. Enter a unique Account #, and a Website if you like.

  6. Choose the Industry, Type, Country, Currency and default VAT Rate. Enter the company's VAT # if you know it.

  7. Tick Customer, Supplier or both, and complete the matching section below.

  8. Click the tick to save. Omono opens the new company's page.

The Add New Company form

When you click Accounts Address or Contact, a sub-form opens in place of the company form. Accounts Email is required on the address, and Omono links the contact to the accounts address for you. Click the sub-form's tick to return. Nothing is saved until you click the tick on the company form. The company has no telephone or postcode fields of its own; its card shows the ones from the accounts address. When you create the company, it keeps the Country you chose on the company form. After that, each time you save the accounts address, or make another address the accounts address, Omono copies that address's country onto the company.

Required fields and defaults

A company must be a Customer, a Supplier or both. Company Name and Account # are required and must be unique. Omono checks them as you type, ignoring upper and lower case, and the form will not save while either is already in use. Industry, Type, Country, Currency and VAT Rate all start with a default. A customer also needs an Account Manager (defaults to you), an Invoice Bank Account, Terms (Invoice) and a Segment. A supplier needs Terms (Bill).

Currency

The company's Currency sets the currency of every document raised for it. It is locked once the company has a quote, order, credit note or purchase order. If the company is a supplier on any stock item, an information icon reminds you that supplier prices are stored in the supplier's currency and are not converted when you change it. See Stock suppliers and supplier prices.

Customer section

Field

Meaning

Account Manager

The person responsible for this customer. Used as a report filter and as an email copy-in option.

Invoice Bank Account

The bank account printed on this customer's invoices and proformas. Only accounts in the company's Currency are offered. An admin must add one in Settings → Company → Bank Accounts before you can save a customer in that currency. When the currency has exactly one bank account, Omono selects it for you.

Terms (Invoice)

How long the customer has to pay: a whole number from 0 to 99 and how to read it (see How terms are read, below). Omono uses this for the due date on each invoice.

Credit Limit

Used by the Xero credit limit check when shipping.

Sales Discount (%)

The discount Omono puts in the Discount (%) box on each new line item for this customer. You can change it on the line. It stays at zero when the price comes from the customer's price list.

EORI Number

For customs paperwork. See International trade.

Segment

The customer segment for reporting.

Commission

The commission scheme for a referrer. Shown once an admin adds a commission in Settings → App → Commissions.

Customer Division

The division that normally deals with this customer. Shown once divisions exist. See Divisions.

The customer's VAT # prints as Your VAT # on invoices and proformas and is sent to Xero.

Proforma customers. Set Terms (Invoice) to 0 Days After Invoice Date to treat a customer as proforma. Their dispatches must be marked as paid before they can ship. See Invoices and proforma invoices and Raise a quote proforma.

How terms are read

Option

Example for an invoice dated 10 March

Days After Invoice Date

30 gives 9 April

Days After End Of Invoice Month

30 gives 30 April

Day Of Current Month

20 gives 20 March

Day Of Following Month

20 gives 20 April

If the day does not exist in that month, such as 31 in April, Omono uses the last day of the month. The same options apply to Terms (Bill).

Supplier section

Field

Meaning

Terms (Bill)

How long you have to pay this supplier.

Bank Account Name, Bank Account #, Bank Sort Code, IBAN, SWIFT

The supplier's bank details. Only admins and users with the Suppliers ▹ Update Bank Details permission can enter or change them. Other users see these fields greyed out, and only when they hold a value. Everyone can read them under More Info. The sort code and account number go to Xero; see Xero, below.

Supplier Division

The division that normally buys from this supplier.

The company page

The top of the page shows the company name with its flag, Status (Active, On Stop or Archived), Account # and, for a customer, the Account Manager. A company with a website shows Web, which opens it in a new tab. Click More Info to see the rest of the record, such as terms, bank account, VAT and EORI numbers and divisions.

A company page with its status, panels and action bar. The buttons that do not fit on the bar fold into the More menu, shown open here.

The action bar

Button

What it does

Edit

Opens the company form.

Documents, Notes, Links

Attach files, notes and web links. See Notes, documents and links.

Customer Price List

Customers only. Agreed prices. See Customer price lists.

Stop

Customers only. Puts the company on stop, or takes it off.

Add Contact, Add Address

Adds people and addresses. See Contacts and addresses.

Sales Quotes, Sales Orders, Credit Notes, Purchase Orders

Opens that search screen with the company name in the Filter box and every status selected. The filter matches text, so documents of other companies with similar names, such as Acme Engineering for Acme, can appear too. The first three show for customers, Purchase Orders for suppliers.

Supplier Quality

Suppliers only. Quality management details and the star rating.

Raise SQ, Raise SO, Raise PO

Starts a new quote, sales order or purchase order for the company.

There is no button to raise a credit note from the company page; use + next to Credit Notes in the navigation bar instead. See Credit notes. Archived companies lose Stop, Add Contact, Add Address, Raise SQ, Raise SO and Raise PO; Documents, Notes, Links, Customer Price List and Supplier Quality still work.

The Documents form opened from a company's action bar

Panels

The panels show the company's trading figures for the chosen Date Range, which starts on the current financial year. A company that is both a customer and a supplier has a Customer / Supplier switch above them. Money values are in the company's currency.

  • Customer view: Quotes (count and Average Quote Value), Quote Conversion Rate, Orders (count and Average Order Value) and Turnover (invoices dated in the period, less completed credit notes created in the period; orders not yet invoiced are not included).

  • Supplier view: Quality (the star rating and next review date), Stock Items (how many items list this supplier and the Last Order Date, with a button that opens the Stock screen filtered to it), Orders and Turnover (deliveries with a supplier invoice, by invoice date).

Click the flip button on the Quotes, Quote Conversion Rate, Orders and Turnover panels to see a chart on the back.

Tasks, contacts and addresses

Further down the page, Tasks lists the tasks linked to the company. Show Closed: None hides completed tasks; choose Last 7 Days, Last 30 Days or Last 90 Days to include them. Add Task creates a task already linked to the company; see Tasks. Contacts lists people by last name, and Addresses shows the accounts address first. Contacts and Addresses each show six cards; click Show More to see the rest. Click the pencil on a card to edit it. Show Archived appears only when the company has archived contacts or addresses. See Contacts and addresses.

Editing a company

Click Edit in the action bar. The same rules apply as when you create a company.

The Edit Company form

  • Renaming. Omono updates the name on the company's contacts and on all its quotes, sales orders, dispatches and purchase orders. Addresses whose Company Name is exactly the old name are renamed too. Credit notes keep the old name, so the Credit Notes button on the renamed company does not find credit notes raised before the rename.

  • Changing the account manager moves every existing quote and sales order for the customer to the new account manager.

  • Removing the Customer or Supplier tick clears that side's fields (bank details only if you have the permission to edit them). Existing documents are not affected. A customer on stop that becomes supplier only is taken off stop.

Flags

Click the flag icon next to the company name and choose a colour, or No flag to clear it. The flag shows on the company's card and works with the Flag filter. Admins name the company flag colours in Settings → App → Flags; until one has a name, the icon is hidden. See Navigating Omono.

Putting a company on stop

Click Stop in the action bar and answer Yes to Place this company on stop?. Only a customer can be put on stop.

The Place this company on stop? confirmation

The company's Status changes to On Stop. While a customer is on stop, its dispatches cannot be shipped: anyone who tries sees On Stop. This dispatch cannot be shipped until the customer account is taken off stop. Please ensure the account manager is aware. The Xero credit limit check does not run, because shipping is already blocked. You can still raise quotes, orders and credit notes for it. Click Stop again and answer Yes to Take this company off stop? to lift the block. Both actions write a system note and an Activity Feed entry naming who did it.

Supplier quality

For suppliers, click Supplier Quality in the action bar. Tick Monitored Supplier to put the supplier in your quality register; the other fields are greyed out until you do.

The Supplier Quality form for a monitored supplier, with its next review date and a four-star rating

Field

Rule

Next Review Date

Required. Cannot be in the past.

Type Of System

Required. The list comes from Settings → App → Quality Management Systems.

ISO Certificate Received, ISO Certificate Expiry Date

Tick when you hold the supplier's certificate; the expiry date is then required and cannot be in the past.

Rating

Optional. Click a star from 1 to 5, or the same star again to clear it. Admins define what each star means in Settings → App → Quality Management Star Ratings.

Click the tick to save. Each change writes a system note on the company. The rating shows on the Quality panel and in the Supplier Quality Management report (see Purchasing reports), and you can filter by it under Advanced on the Companies screen. Unticking Monitored Supplier and saving clears every other field, and the supplier leaves the register.

Some suppliers carry an older star rating from before the quality register (for example the sign-up demo data). It shows on the Quality panel with Last Updated and the Quality filter finds it, but the Supplier Quality form does not show it. When you tick Monitored Supplier and save, the stars you set replace it.

Archiving a company

Open Edit and click Archive Company. An archived company cannot be chosen on new documents and shows Archived as its status. Its Edit form is read-only: every field is greyed out and only Un-archive Company works. You can still flag it, edit its contacts, addresses, price list and supplier quality record, and add notes, documents and links. Copying one of its documents, or winning one of its quotes, still creates a new document for it. Its documents, contacts and addresses stay intact. Archived companies are hidden on the Companies screen; tick Archived under Advanced to list them. To bring one back, open it, click Edit and then Un-archive Company.

Can I merge duplicate companies?

No. Keep the record that holds the documents and archive the duplicate. Documents on the archived company stay where they are. An archived company still counts when Omono checks that a Company Name or Account # is unique. So you cannot give the kept record the duplicate's name or number while the duplicate holds it: un-archive the duplicate, change its name or number, and archive it again. Quick Search does not show archived companies, so nobody will choose the duplicate by mistake. To avoid duplicates after an import, see Importing data.

The company's audit trail

Omono writes a system note on the company, under Notes, naming the user, when someone:

  • creates the company;

  • puts it on or off stop;

  • archives or un-archives it;

  • adds, archives or un-archives a contact or address;

  • sets or clears a flag;

  • changes its supplier quality record (this note does not name the user in its text).

Creating, stopping, archiving, flagging and contact changes also appear in the Activity Feed under Companies. See Notes, documents and links.

Xero

When Xero is connected, Omono sends each company to Xero as a contact with its name, account number, accounts address, email and telephone, VAT number, currency and payment terms. For suppliers, it also sends the sort code and account number when they are new or changed, which needs the Xero Bank account admin permission. Clearing a bank field and saving clears it in Xero too. The bank account name, IBAN and SWIFT are not sent. Saving the company form, or saving its accounts address, marks the company for re-sending on the next sync. See Connecting Omono to Xero.
