A customer price list holds the prices you have agreed with one customer for specific stock items. When you quote or sell one of those items to that customer, Omono uses the agreed price instead of the item's standard sell price.
Opening a price list
Open the customer and click Customer Price List in the action bar. The button shows only for customers.
The form has a Price List Date dropdown to choose a sheet, six buttons (Create Price List, Delete Price List, Adjust Pricing, PDF Download, Excel Download and CSV Download), the table of prices with an empty row at the bottom for adding one, and the Additional Customer Notes box.
Price list sheets
Prices are grouped into dated sheets. The sheet with the latest date on or before today is the one in force. Sheets dated in the future wait until their date, so you can prepare next year's prices in advance.
If an item is missing from the sheet in force, Omono does not look back at older sheets; it uses the item's sell price. So when you start a new sheet, copy the current one so that no item is left out. An empty sheet does not count: until it has at least one price, line items still take their prices from the sheet before it.
Creating a sheet
If you want to copy an existing sheet, choose it in Price List Date first. Then click Create Price List.
Choose the start date. Dates already used by another sheet are greyed out.
Click Copy Current List to copy every price and the notes from the sheet you chose, or Create Empty List to start blank. If the chosen sheet has no prices, there is a single Create Price List button instead.
Omono selects the new sheet. A copied sheet keeps the same prices until you change them, for example with Adjust Pricing.
Deleting a sheet
Choose the sheet, click Delete Price List and click Confirm. Every price on that sheet is deleted. This cannot be undone.
Entries
Column | Meaning |
Part # and Title | The stock item. Click either to open it. |
Customer Ref # | The customer's own reference for the item. Optional. It prints on the PDF as Your Ref #. |
Min Quantity | The quantity from which this price applies. Add several rows for the same item to create quantity breaks. Use 0 for a price that applies to any quantity. |
Price | The agreed unit price in the customer's currency. |
Margin | The margin this price gives against the item's last cost. |
Adding, editing and deleting a price
Use the empty row at the bottom. Start typing in Part No or Title and choose the item (only items marked Can Sell are offered). Enter Min Quantity and either Price or Margin; Omono works out the other. Click the tick at the end of the row to save. If a row for the same item and quantity already exists, Omono updates it instead of adding another.
To change a price, click the pencil at the end of its row. Its values load into the bottom row, where you can change everything but the item. Click the tick to save, the bin to delete the price, or the pencil again to cancel. Typing a new Customer Ref # into the bottom row for an existing item does not change it; use the pencil.
Margin
Margin compares each price with the item's last cost, converted to the customer's currency at the exchange rate in your settings. Hover over the information icon to see the Last Cost. The icon turns to a warning when the margin is below the item's Minimum Sales Margin (or, if that is 0, the minimum margin of its sales analysis code), or when the item's last cost is 0. For how Omono finds the last cost, see Stock costing and valuation.
Raising or lowering every price
Click Adjust Pricing and enter a percentage. A positive number raises every price on the selected sheet; a negative number lowers it. If your sales prices use four decimal places, choose whether to round the new prices to 2 or 4 places. Click Confirm. The adjustment cannot be undone, and Omono shows no summary of what it changed, so check the percentage first. To raise prices from a future date, create a sheet for that date with Copy Current List, choose it, then adjust it. The old sheet stays as it was.
Additional customer notes
Each sheet has its own Additional Customer Notes box. The notes print at the bottom of the price list PDF. Click a symbol button above the box to insert that symbol; the symbols come from Settings → App → Symbols. You cannot type in the box until the customer has a sheet.
Click the tick at the top of the form to save the notes; this also closes the form. Closing with the cross discards them. Copy Current List copies the notes as last saved. The PDF uses the notes as typed in the box, so you can add a covering note and download the PDF before you save.
Sending the price list to the customer
PDF Download produces a landscape PDF headed Customer Price List: [company]. It shows the sheet date as Valid From, the items, Your Ref #, minimum quantities, unit prices, and the notes under Additional Notes. Margins and costs are never printed. Excel Download and CSV Download give the same prices as a spreadsheet. The buttons are greyed out while the sheet has no prices. There is no email button; attach the file to an email from your mail program.
The PDF carries your company header and footer. If the customer has a Customer Division with Customer Price Lists ticked, the division's logo and contact details replace yours in the header; the footer stays your company's. See Divisions and What prints on your PDF documents.
How the price on a line item is chosen
When you add a line to a quote or sales order for this customer, Omono looks up the price list when you choose the stock item and again each time you change the quantity. It uses the sheet in force today and the row for that item with the highest Min Quantity that the line quantity reaches. When you have just chosen the item the quantity counts as 0, so at that point only a Min Quantity 0 row can apply. If it finds one, List Price is set to that price and Discount (%) to 0; the List Price label's tooltip shows where the price came from. If it finds nothing, the price comes from the item's sell price with the customer's Sales Discount (%) applied.
Each lookup resets List Price and Discount (%), so enter the quantity before you change the price or discount by hand.
Omono does not look the price up again when you edit an existing line. A new sheet never changes a quote or order you have already raised.
Credit note lines do not use the price list.
Prices are not converted. Enter them in the customer's currency. If the customer's currency changes later, the figures stay the same in the new currency, so check them.
There is no import for price lists and no way to copy a list to another customer.
