Sales reports

Every filter and column on the Sales Timeline, Sales Analysis, Sales Person Performance, Sales Line Items, Sales Commission and Product Margins reports.

Written by Chris Hearn

These reports sit under the Sales chip in the Reports catalogue. Values marked (base) are in your base currency, converted at the exchange rate stored on each document. See Reports for how to run, filter and export a report.

Sales Timeline

The Sales Timeline report, with the chart above the table.

Sales order value by the date each order was raised, against your sales targets. Completed credit notes are listed as rows and subtracted from the totals.

Filter

What it does

Date Range

The order date. Defaults to This Month.

SO Status

Draft, Active, Complete and On Hold are ticked by default. Untick Draft to count confirmed orders only. Tick Cancelled to include cancelled orders.

CN Status

Complete is ticked by default. Tick Draft to subtract draft credit notes too.

Customer, Account Manager, Industry, Type, Segment, Country

Narrow by the customer record.

Customer Division, Order/CN Division

Exclude Zero Value

Hides orders and credit notes with no value.

The chart shows Sales Value bars per period with a Cumulative Value line, plus Sales Target bars and a Cumulative Target line. Targets apply to the whole company, so both target series disappear as soon as you narrow the report by any customer filter or division. See Reports for where targets are set.

Columns: Order No, Date, Company, Customer Order No / Ref, Status, Account Manager, Type, Industry, Segment, Country, Order Value (base), Order Value in the order's currency and Currency. The division columns, and Commission Referrer, Commission Rate % and Commission Value (base), appear only when a row carries a division or a commission. Click an order or credit note number to open it.

Sales Analysis

Order value and units per Sales Analysis code, from the line items of sales orders raised in the date range. There is no status filter: draft orders always count and cancelled orders never do.

Filter

What it does

Date Range

The order date.

Customer, Sales Person, Account Manager, Customer Division, Order Division

Narrow the orders counted.

Exclude Zero Units Sold

Hides codes with no units.

Exclude Zero Value

Hides codes with no value. Ticked by default.

The chart shows Total Value and Units Sold per code. Columns: Sales Analysis Code, Units Sold and Total Value (base). Every code is listed, archived ones included, unless Exclude Zero Units Sold or Exclude Zero Value hides it. Credit notes are not subtracted, so Total Value can add up to more than Sales Timeline for the same period.

Sales Person

The page is titled Sales Person Performance Report. It ranks people by the value of orders raised in the period. Like Sales Analysis, it has no status filter.

Filter

What it does

Date Range

The order date.

Group By

Account Manager (default) groups orders by the customer's account manager; Sales Person by the salesperson set on the order.

Customer Division, Order Division

Columns: Position (rank by value), Name, Order Count and Order Value (base). The chart shows the same two figures per person. Credit notes are not subtracted, so the totals can be higher than Sales Timeline for the same period.

Sales Line Items

A line-by-line extract of your sales. Rows sets the basis:

  • Invoiced (default): one row per invoiced dispatch line, dated by the invoice date. Lines not yet invoiced do not appear.

  • Ordered: one row per sales order line, dated by the order date, whatever its dispatch or invoice state.

Filter

What it does

Invoice Date Range

The invoice date. On the Ordered basis it is relabelled Order Date Range and uses the order date.

Order Status

Ordered basis only. Tick any of Draft, Active (which includes call-off orders), Complete and On Hold. Empty means every status. Cancelled orders are always left out.

Customer, Customer Division, Order Division

Narrow the orders.

Invoice #, Part No, Title

Text searches. Invoice # appears on the Invoiced basis only.

Sales Analysis

One analysis code.

Stock / Non Stock

Both ticked by default.

On the Invoiced basis the columns are Invoice #, Invoice Date, Customer, Order / Dispatch, Part No, Title, Sales Analysis, Quantity Invoiced, Currency, Unit Price, Sub Total, Sub Total (base) and Stock / Non Stock. On the Ordered basis the first two columns become Order Date and Status, Order / Dispatch becomes Order No, and the quantity column is Volume Ordered. The Excel and CSV exports add the exchange rate and the base-currency unit price.

Sales Commission

Commission owed on each invoiced dispatch line of an order with a Commission set on it. You create commissions, each with a referrer and a rate, in Settings → App → Commissions.

Filter

What it does

Invoice Date Range

The invoice date.

Customer, Customer Division, Order Division

Narrow the orders.

Referrer, Invoice #, Part No, Title

Text searches.

Only Completed Orders

Shows only lines on Complete orders, for paying commission once an order has finished.

Columns: Invoice #, Invoice Date, Customer, Order / Dispatch, Reference, SO Complete, Line Item (the line letter), Part No, Title, Quantity, Currency, Gross Price (base), Gross Profit (base), Commission Rate (%), Commission Value (base) and Referrer. A line whose item had no recorded cost when it was sold shows no gross profit rather than a false 100% margin.

Product Margins

Gross profit and margin per product over invoiced dispatch lines in the period, net of completed credit notes, ranked by profit.

Filter

What it does

Invoice Date

The invoice date.

Search

Narrows the rows as you type, by part number or product title.

The chart shows Gross Profit and Margin % for the top 15 products by gross profit; the table lists every product. Columns: Part No, Quantity Sold, Lines, Revenue (base), Cost Of Goods (base), Gross Profit (base) and Margin %. The Excel and CSV exports add the credited and uncosted breakdown.

Revenue is quantity times unit price. Cost is quantity times the cost recorded on the line when it was sold. A cost of zero or less, or none at all, makes the line uncosted. Uncosted units are left out of the profit and margin, and the row shows a Partial Cost or No Cost tag next to Margin %. Hover over it to see how many units have no cost.

A product credited but not invoiced in the period shows a negative quantity and revenue, with a Credit Only tag. A product both invoiced and credited shows "less N credited" under the quantity and the credited amount under the revenue.
