Each stock item and never-diminishing item keeps a list of the suppliers you can buy it from. Assemblies have no suppliers because they are built, not bought. Purchase orders, linked purchase orders and the Reorder Suggestions report take their supplier part numbers and default prices from this list.
Adding a supplier to an item
Open the stock item and click Suppliers.
Start typing the supplier's name or account number and pick it. Only companies marked as suppliers are offered; archived companies and suppliers already on the list are left out.
Fill in the fields.
Field | Meaning |
Part # | The supplier's part number for this item. Required. |
Lead Time (Days) | How long delivery takes, in whole days. Required and more than zero. |
Price | The supplier's unit price in the supplier's currency. Required and more than zero. Decimal places follow Purchasing Unit Prices (PO) in Settings → App → Unit Pricing. |
Preferred Supplier | Yes for the supplier you normally use. Only one can be preferred; choosing another clears the first. |
Click the tick.
Click a supplier's name to open the company. The Rating column is left over from an older version of Omono and cannot be set. A supplier's star rating lives on its Supplier Quality record. See Companies: customers and suppliers.
Changing or removing a supplier
To change a supplier, click the pencil at the end of its row, edit the values and click the tick. Click the pencil again to cancel. The supplier's name cannot be changed. To remove a supplier, click the pencil, then the bin, and confirm with Delete Supplier. This cannot be undone. Adding or removing a supplier is written to the item's Notes; editing a row is not.
Adding suppliers in bulk
You can add suppliers and prices in bulk with the Stock Suppliers import template, but only for suppliers not yet on the item. To change an existing price, use the form above. See Importing data.
Where the list is used
On a purchase order line, Supplier Part # searches this list for the PO's supplier, and Price defaults to the price recorded here. If the PO's supplier is not on the list, the price starts from the item's Cost Price instead.
On Raise Linked PO, each line's Supplier starts as the item's preferred supplier. Click the empty field to pick from the item's listed suppliers, with their cost and lead time, or type to search all your suppliers.
The Reorder Suggestions report orders from the preferred supplier. If there is none, it uses the first supplier on the list, or failing that the supplier of the item's last received delivery. It uses the recorded lead time (or the supplier's 12-month average when none is recorded) and converts the price to your base currency. A supplier not on the list has its cost marked as estimated. In the report's Choose Supplier form you can pick another supplier and tick Save To This Stock Item's Suppliers to add it to the list. See Stock reports.
The Supplier and Supplier Stock # filters on the Stock screen search this list.
The Supplier Directory and Supplier Performance reports are built from your companies, purchase orders and deliveries, not from this list. See Purchasing reports.
Currency
Prices are in the supplier's currency. A supplier's currency is fixed once its first quote, sales order, purchase order or credit note is created, and stays fixed even if you later delete that document. While it can still change, an information icon beside Currency on the company form reminds you to review the prices recorded here.
Things to know
The supplier part number prints on the purchase order as Supplier #, so keep it accurate. It comes from the PO supplier's own row, whether or not that row is preferred.
Besides setting the defaults above, this list gives the manufacturer part number on sales paperwork when that is switched on: Omono uses the part number of the supplier on the line's linked purchase order if it is listed, otherwise the preferred supplier's, otherwise the only supplier's when just one is listed. See Templates, paperwork and email templates.
The Suppliers button is hidden on an archived stock item, so unarchive the item to correct its list. An archived supplier's row stays, but Reorder Suggestions cannot raise a purchase order to it.
Copying a stock item leaves the supplier list empty unless you tick Copy Suppliers on the copy form.
Nothing updates the recorded price on its own: a price typed on a purchase order does not change it. Review this list when prices change.
