Find answers to the most common questions for integrating Omono with the Xero accounting platform

What do I need to do before connecting to Xero?

We recommend that you create all sales analysis codes, purchase analysis codes and tax rates that are required for your business in the relevant settings area of Omono.

Although doing this first is not absolutely essential, it will save you time in the long run, as any future changes to these items will need to be mapped in the Xero integration settings.

It is also worth adding any foreign currencies you intend to use on both systems. Omono does not automatically add missing foreign currencies to your Xero settings so you will need to carry this out manually. Do Omono and Xero sync both ways?

No, your business data is only sent from Omono to Xero therefore you should consider Omono as the primary source of truth for maintaining your customer/supplier records.

Likewise, any changes you make in Xero to invoices, bills or credit notes will not be reflected back in Omono.

Omono will read certain data from your Xero organisation for the purposes of operating/maintaining the integration and performing dispatch credit limit checks using your customers' outstanding balance figures (the latter only applies if you enable the enhanced credit limit check feature).


What data is sent from Omono to Xero?

  • Companies (Customers & Suppliers)

  • Dispatch Invoices (Sales Orders)

  • Delivery Invoices (Purchase Orders)

  • Credit Notes

  • Chart Of Accounts Codes (only if you choose to create them automatically when mapping your sales/purchase analysis codes)

What data does Omono read from Xero?

  • Organisation Info (such as your company name and financial year end date)

  • Chart Of Accounts

How do I view what has been sent to Xero and can I see any errors/problems easily?

Navigate to the 'Reports' area in the left side navigation bar of Omono and click 'Xero Sync Logs'.

Within here you will be able to see a detailed log of the sync process. Any items that require your attention will be highlighted in red.

In most cases, you will only need to look at the logs for the most recent sync, as it will include any unresolved errors that have occurred in the past. You can instantly click though to the affected item directly from the log screen which should make resolving any issues a breeze!

Can Omono automatically sync my data to Xero at regular intervals?

Yes, automatic syncing can be configured to take place every 15 mins, every hour, every 4 hours or once per day.

Automatic syncing is not enabled by default - you can enable in within the Xero Integration Setup screen by hovering over 'Integration Settings' in the light blue bar toward the top of the screen, choose 'General Options' from the drop down menu and then change the 'Sync Interval' accordingly.

Even with automatic syncing enabled, it is still possible for you to use the 'Sync Now' option at any time if you need to get any outstanding data over to Xero straight away.


I need to make changes to invoices, bills or credit notes after they have been sent from Omono to Xero, is this possible?

Yes, this can be done by changing the default statuses for each type within the Omono integration settings for Xero. This option can be found within 'General Options' under the 'Integration Settings' menu item. Your status for the relevant item would need to be set to 'Draft' or 'Submitted' for it to remain modifiable in Xero.

We generally don't encourage this unless it's absolutely essential for your business - it's preferential to have the data across both systems identical for consistency and auditing purposes.


Can I record payments on invoices in Omono?

No, payments must be added and managed directly within Xero.


I'm using Xero already. Can I still integrate with Omono?

Sure, if you already have customers/suppliers setup in Xero then we recommend that you ensure the details are identical in Omono to ensure duplicate records are not created with slightly different company names, particular attention should be paid to the company name and account number.

You should also ensure the starting document numbers (i.e SO-1000) in Omono are set high enough so they will not clash with any existing invoice/bill/credit notes numbers that you already have in Xero.

We don't currently support directly importing business data automatically from Xero into Omono, but it's on the future roadmap.

I no longer wish to integrate Omono and Xero. How do I disconnect?

Click the 'Disconnect From Xero' button on the integration setup page.

Please note that Omono will still consider your companies, invoices, bills and credit notes etc that have previously synced as completed. This means they will not be synched again if you reconnect to the same or a different Xero account.
