What prints on your PDF documents

The layout, header, footer, numbering, dates, prices and file names shared by every document Omono generates, and what the draft preview banner means.

Written by Chris Hearn

Omono generates every PDF afresh each time you download, print, preview or email it, so it always reflects the current data and paperwork settings. This article describes the layout, line columns and totals that every document shares, then previews, file names and downloading.

Layout

  • Documents are A4 portrait. Customer price lists and the sales order BOM list are landscape.

  • Every page repeats the header, the document title and the address block, and shows Page 1 of 2. The customer price list shows one line with the valid-from date, the account number and the page number instead of an address block. Picking lists and the sales order BOM list show one line of details instead (customer, account number, customer reference and order date; on an untracked build picking list, the reference, build quantity, who raised it and the date), carry the page count in the title, and print no footer. The sales order BOM list can also print each line's description under the line. The header, footer and these options are described in Templates, paperwork and email templates.

  • On a collection order or quote, the quote, sales order and delivery note print Delivery: Customer Collection instead of the delivery address. Invoices, proformas and certificates of conformity that print the delivery address show Customer Collection in its place. See Sales orders.

  • Dispatch paperwork can carry extra blocks: the dispatch's paperwork notes as Additional Notes, a shipment tracking box, signature boxes on the delivery note, the manufacturer part number (MPN) when switched on, and serial numbers on the certificate of conformity.

Lines, prices and totals

  • Line items are lettered A, B, C in the order you put them on the quote or order. Delivery notes, invoices, dispatch proformas and certificates keep the sales order's letters, so a part shipment may show only B and D. A quote proforma uses the quote's letters. Picking lists have no line column; the customer price list numbers its rows under Item.

  • Each line shows the part number, title and description, then Tag #, Commodity Code and Country Of Origin where the record holds them. Picking lists, the BOM list and the customer price list show only the part number and title (the BOM list can add the description). Credit notes show none of the three; purchase orders show only Tag #. On invoices and sales order proformas you can switch off the description and each of the three in Settings → Templates → Invoice & Proforma Paperwork; a quote proforma always prints them.

  • Quotes, sales orders, invoices and proformas add a List Price and Discount column when any line has a discount (on an invoice or a dispatch proforma, any line on that dispatch). A quote with no discount but a lead time on a line shows a Lead Time column instead.

  • Unit Price uses 2 or 4 decimal places, set separately for Sales Unit Prices (SQ/SO/CN) and Purchasing Unit Prices (PO) in Settings → App → Unit Pricing. With 4 places, trailing zeros are removed down to 2 places: 1.2500 prints as 1.25 and 1.2000 as 1.20. Amount is quantity times unit price, to 2 decimal places.

  • The Amount GBP heading and the TOTAL GBP label carry the document's currency code; totals carry the currency symbol.

  • Tax prints as one line per rate, for example Total VAT (20%):. The totals rows are optional on quotes, sales orders and purchase orders; see Templates, paperwork and email templates for what each option prints. Foreign currency invoices and proformas can also print a tax summary in your base currency; see International trade.

  • Dates print as DD/MM/YYYY, except the invoice Due Date, which prints as, for example, 1st Sep 2026.

Previews

Preview appears on a quote, sales order, purchase order or credit note only while it is a draft with at least one line item. On a sales order or purchase order the full quantity of every line must also be on dispatches or deliveries, unless it is a call-off order. The preview is the same PDF with a banner on every page: "**** DRAFT PREVIEW COPY - FOR INTERNAL USE ONLY - DO NOT SEND TO CUSTOMER ****" (or "… SUPPLIER ****" on a purchase order). Only a preview leaves the status alone: Download, Print and Email make a draft quote, sales order or purchase order active, and complete a draft credit note (after you confirm, for Download and Print).
