Templates, paperwork and email templates

Control what prints on quotes, orders, invoices, delivery notes, certificates and purchase orders, and set up the email templates Omono uses to send them.

Written by Chris Hearn

Settings → Templates shows a grid of cards. Each card is either a paperwork options form for a PDF, such as Sales Quote Paperwork, or an email template, such as Sales Quote Email. Only Admin Users can open it.

The Delivery Note Paperwork form

Click the tick at the top of each form to save.

The header on every document

Every PDF starts with your logo on the left and your address on the right. The logo comes from Settings → Company → Logo, which the Omono support team uploads for you (see Settings overview). With no logo, your company name prints in large text. The address is your accounts address from Settings → Company → Addresses, in the format chosen in Settings → App → Internationalisation.

Tel: is the telephone number on your accounts address. Web: and Email: are the Website and Main Email from Settings → Company → Company Profile. Each prints only when its Paperwork Header switch is on. A division's branding replaces all of these; if the division has no logo, your main logo is used. See Divisions.

The footer on every document

The foot of each document shows Company Registration #: and VAT #: with the numbers from Company Profile (when filled in), then your footer text, with Powered by Omono on the right. The two labels follow the wording set in Settings → App → Internationalisation.

The Paperwork Footers form

Despite its name, the Sales Paperwork Footer (SQ/SO/CN) prints on every customer-facing document, not just quotes, orders and credit notes. The Purchasing Paperwork Footer (PO) prints on purchase orders only. Picking lists and BOM lists print the header but no footer.

Totals on quotes, sales orders and purchase orders

The Sales Quote Paperwork, Sales Order Paperwork and Purchase Order Paperwork cards each have three totals tick boxes:

Tick box

What prints

Show Net Price Total

The total before tax, labelled Subtotal: when Show Gross Price Total is also ticked, otherwise TOTAL GBP:.

Show Tax Totals

One line per tax rate on the document, for example Total VAT (20%):. Tax-exempt lines are left out.

Show Gross Price Total

TOTAL GBP: including tax.

Untick all three to print no totals, for example on a quote used as a price indication. The currency code follows the document's currency and the word VAT follows Settings → App → Internationalisation. Invoices, proformas and credit notes always print all three; you cannot hide them.

Contact name on quotes

Contact Name Location on the Sales Quote Paperwork card decides where the quote's contact prints. Don't show prints no name. With Invoice Address (the default) prints it above the company name in the Invoice Address block. With Delivery Address prints it in the Delivery Address block below the line items. With Both Invoice and Delivery Address prints it in both places. Sales orders and credit notes always print the contact name at the top of the address block; invoices, proformas and delivery notes never do.

Invoice and proforma line details

Display Stock Description, Display Tag Number, Display Commodity Code and Display Country of Origin control what prints under the part number and title of each line on invoices and sales order proformas. All four print until you untick them and save.

Display Delivery Address adds a boxed Delivery Address below the totals; on a collection order the box is headed Delivery and reads Customer Collection. The VAT summary option only affects orders in a currency other than your base currency; see International trade.

Manufacturer part numbers

Show Manufacturer Part Number On Line Items is on the Sales Order Paperwork, Delivery Note Paperwork and Certificate Of Conformity Paperwork cards. When ticked, MPN: and a supplier part number print under each line. Omono takes the number from the stock item's supplier entries (see Stock suppliers and supplier prices): the supplier on the line's linked purchase order, otherwise the Preferred Supplier, otherwise the only supplier if there is exactly one. If none gives a part number, nothing prints for that line. Quotes, invoices and proformas never print the MPN.

Line item descriptions on the BOM list

The BOM (bill of materials) list printed from a sales order's BOM window normally shows each line's part number and name, but not its description. Tick Show Line Item Descriptions On The Order Level BOM List on the Picking Paperwork card to add each line's description as its own row, before an assembly's components. Component rows never carry a description, and the picking list printed from a dispatch is not affected. See Sales orders.

The Picking Paperwork form with the BOM list description option ticked

Shipment tracking on documents

Show Shipment Tracking Details on the Delivery Note Paperwork card and Show Shipment Tracking Details on Invoice on the Invoice & Proforma Paperwork card print a Shipment Tracking box. It shows the courier, the tracking number and, for built-in couriers, a link to the courier's tracking page. You enter these on the dispatch when you ship it. Custom couriers show no link. See Dispatches.

Certificates of conformity

Open Settings → Templates → Certificate Of Conformity Paperwork.

Field

Meaning

Show Certificate Of Conformity In Dispatch Documents

Adds the certificate to every dispatch's Documents window and to the Dispatch Email attachments. Until this is ticked, Display Delivery Address, Show Manufacturer Part Number On Line Items and Enable Digital Signing are greyed out; Content can be edited at any time.

Content

The declaration wording printed under the line items.

Display Delivery Address

Prints the order's delivery address on one line between the line items and the declaration (Delivery: Customer Collection on a collection order).

Show Manufacturer Part Number On Line Items

Prints MPN: under each line. See above.

Enable Digital Signing

Prints a signature block instead of blank lines.

Digital Signature Name Override

Greyed out until Enable Digital Signing is ticked. The name to sign with; blank signs with the name of the user who generates the certificate.

Click the tick to save.

The certificate is headed Certificate Of Conformity #: SO-1234-1 and saved as COC-1234-1.pdf. It shows the customer's invoice address, the dispatch date, the account, order and reference numbers, and EORI numbers and incoterm when set. Each line then prints its part number, description, Tag #, Serial # (from the dispatch), Commodity Code, Country Of Origin and quantity. There are no prices.

Below the table come the optional delivery address line, your Content wording and the signature. Digital signing prints Signed: with the name in a handwriting-style font, then the name and the date generated; without it, Signed:, Name: and Position: dotted lines are left to complete by hand. The date and signatory are taken when the PDF is generated, so downloading the certificate again on a later day gives it that later date.

Email templates

There is a template for each of Sales Quote Email, Sales Order Email, Dispatch Email, Sales Invoice Email, Credit Note Email and Purchase Order Email.

The Sales Quote Email template

Field

Meaning

Automatically Send Invoice Emails Upon Shipping

Sales Invoice Email only. Tick it to send the invoice email when a dispatch ships.

Email From Name

The name the recipient sees. Leave it blank to use the sending user's name (for automatic invoice emails, the division or company name).

Send From

Shown only once Omono has set up sending from your own domain; ask us through the chat. Choose Sending User's Email Address or Custom Email Address with a From Email Address. Without own-domain sending, every email comes from [email protected] and replies go to the Reply To Email Address or, if blank, the sender.

Reply To Email Address

Where replies go.

Subject and Content

The email text, with placeholders.

Copy In …

Set each to No, CC or BCC. Every template can copy in your sales, purchasing and accounts teams (addresses from the Company Profile) and the people on the document: the salesperson and account manager on quote, order, dispatch and invoice emails (the invoice email can also copy in the order contact), the raised-by user and account manager on credit notes, and the buyer on purchase orders.

Click the tick to save.

Placeholders

Type [ in Subject or Content and choose a placeholder. Omono fills in the real values when you open a document's email form, so you can check and change the text before you send; the automatic invoice email fills them in when it is sent. The button strip above Content inserts symbols, not placeholders.

Template

Placeholders

Sales Quote Email

[Customer Company], [Contact First Name], [Contact Last Name], [SQ#], [Customer Ref #], [Validity], [Salesperson], [Salesperson Email], [Account Manager], [Account Manager Email], [Your Name], [Your Email], [Your Company], [Your Company Logo], [Sales Team Email], [Sales Team Telephone]

Sales Order Email

As Sales Quote but with [SO#] and [Customer Order #] instead of [SQ#], [Customer Ref #] and [Validity]

Dispatch Email

As Sales Order plus [Dispatch Date], [Courier], [Tracking #], [Tracking Web Link], [Accounts Team Email], [Accounts Team Telephone]

Sales Invoice Email

As Dispatch plus [Invoice #], but without [Dispatch Date], [Your Name] and [Your Email]

Credit Note Email

[Customer Company], [Contact First Name], [Contact Last Name], [CN#], [Ref #] (prints N/A when blank), [Raised By], [Raised By Email], [Account Manager], [Account Manager Email], [Your Name], [Your Email], [Your Company], [Your Company Logo], [Accounts Team Email], [Accounts Team Telephone]

Purchase Order Email

[Supplier Company], [Contact First Name], [Contact Last Name], [PO#], [Ref #], [Buyer], [Buyer Email], [Your Name], [Your Email], [Your Company], [Your Company Logo], [Purchasing Team Email], [Purchasing Team Telephone]

[Your Company Logo] shows your logo, or your company name if no logo has been uploaded. When the document's division has that document type ticked, it shows the division's email logo (or your main logo if the division has none), and the company name on the division's address replaces yours, in [Your Company] too. See Divisions.

The Sales Invoice Email

Because Omono sends the Sales Invoice Email automatically when a dispatch ships, it works a little differently. There is no Send From choice. With own-domain sending, its From Email Address defaults to the accounts team email in the Company Profile. Without it, replies go to the Reply To Email Address or else the accounts team email. See Sending documents by email.

Standing attachments

Click the paperclip at the top of a template to open its attachments form. Drag files onto the upload box or click it to choose files; each file must be under 20 MB.

  • New uploads are set to Auto Attach: Yes, so they are ticked on every email of this type; files set to No are offered but not ticked. Click the edit icon on a row to rename the file or change Auto Attach, then click the tick; click the bin to delete it.

  • The Dispatch Email also lists System Generated Document rows for the Delivery Note and, when switched on, the Certificate Of Conformity; you can set their Auto Attach but not rename or delete them. The other templates attach their own document PDF when you send the email.

  • The Sales Invoice Email template has no Auto Attach column, because every attachment is sent with every automatic invoice email, so upload only the files every customer should receive.

Click the tick at the top to return to the template.

Trial accounts

During a trial each email template shows Email sending is disabled for trial accounts: you can set templates up, but nothing is sent until the Omono team switches sending on. Ask us through the chat.

Things to know

  • Every PDF is built from today's settings, so re-downloading an old invoice after you change the footer, header or tax wording prints the new wording. Keep copies of the PDFs you send.

  • A standing attachment can be up to 20 MB, but the send email form refuses more than 15 MB of ticked attachments. Set Auto Attach to No on a large file, or untick it on each email. Automatic invoice emails have no such limit.

  • A proforma raised from a sales quote follows the Invoice & Proforma Paperwork options, not Sales Quote Paperwork (its four Display … line details always print). Tick Show Quote Delivery on Proforma to print the quote's Delivery field on it. The proforma raised from a sales order has no delivery field.

  • The automatic invoice email goes to the Accounts Email on the customer's accounts address.

  • The certificate of conformity Content prints as plain text: styling is lost and typing [ offers no placeholders.
