Divisions

Organise your business into branches, regions or brands with their own address, logo, email and website, assign them to companies, users and documents, and filter by them.

Written by Chris Hearn

Divisions let you run several business units, such as branches, regions or brands, in one Omono organisation. Each division can have its own address, logo, email and website, so documents and emails carry the right identity.

Creating a division

  1. Go to Settings → Company → Divisions and click +.

  2. Enter a unique Division Name.

  3. Choose the division's Address from your company addresses (Settings → Company → Addresses).

  4. Enter the division's Email and Website if you want them. They print in the header of division-branded paperwork only when Show Email Address and Show Website are on in Settings → Templates → Paperwork Header (both start off).

  5. Under Use Division Branding, all nine document types start ticked. Untick any that should keep your main company branding.

  6. Click the tick.

The Add Division form: name, address, email, website and the Use Division Branding ticks.

If Division Name or Address is empty, the field turns red and nothing is saved. A name that exactly matches another division, or an Email that is not a valid address, is not saved either, and the form closes with no message. A change of capitalisation makes a different name.

Two of the ticks cover more than their name suggests:

  • Delivery Notes also controls dispatch emails: [Your Company] and [Your Company Logo] in the Dispatch Email use the division only when this is ticked.

  • Proformas covers both the sales order and sales quote proformas.

Division logos

The Omono support team uploads division logos: email the logo, your company name and the division name to [email protected] (a PNG on white works best). Until then the division uses your main logo. If you have no logo at all, the header shows the company name from the division's address as text.

Archiving

Click the division's pencil and then Archive. An archived division is read only until you click Unarchive. Tick Show Archived to list archived divisions. They stay on existing documents and in reports but are not offered on new ones.

Assigning divisions

  • Companies: set Customer Division and Supplier Division on the company form. They can be different.

  • Users: set a default Division in Settings → Team.

  • Documents: sales quotes, sales orders, credit notes and purchase orders have a Division field. It defaults to the company's division, or to the user's default division when the company has none. You can change or clear it.

When a quote is won, its division carries over to the order. Linked purchase orders take the supplier's division, or the user's default.

What a division changes

On documents ticked for the division, the division's logo, address and telephone number replace your company's in the header. The footer never changes: it still prints your paperwork footer text, company registration number and VAT number.

In email templates for those documents, [Your Company] becomes the company name held on the division's address, and [Your Company Logo] the division's email logo. Emails use a separate logo file from paperwork, so ask the support team for both. With no logo, the placeholder prints the company name as text.

Filtering by division

  • The Companies screen has Customer Division and Supplier Division filters under Advanced.

  • The Sales Quotes, Sales Orders, Credit Notes and Purchasing screens have a Division filter under Advanced. It defaults to your own division, set when you sign in, so sign out and in again after your user's Division changes.

  • Reports that support divisions offer Customer Division, Supplier Division and the document's own division, such as Order Division, and do not default to yours. Some add division columns to the table and the export when the results contain one.

Things to know

  • Only an Admin User can add, edit or archive divisions. A division can never be deleted, only archived.

  • Until you create your first division, the Division fields and filters are hidden, including the Division field on the user form. Only the Division filter in Settings → Team (showing All) and the Divisions card in Settings → Company stay visible.

  • On a new quote, sales order, credit note or purchase order, Division is greyed out until you choose the company.

  • On the company form, Customer Division is greyed out until the company is marked as a customer, and Supplier Division until it is marked as a supplier.
