Operators and traffic lights help a warehouse or production team share out work on dispatches. You assign operators to a dispatch, and its traffic light shows whether work is in progress or stuck.
Any user can assign operators and set traffic lights. Only an admin can mark a user as an operator.
Setting up operators
Go to Settings → Team and click the pencil on a user's card.
Under Functional Role, tick Operator.
Click the tick to save.
The operator controls and filters appear as soon as one active Standard or Admin User is an operator, and disappear when none is left. An Internal Contact does not count, even with Operator ticked. An operator who is archived or unticked stays assigned to their dispatches, but their circle no longer shows, so those dispatches look unassigned and the No Operator filter misses them. Remove them from their dispatches first.
Where the controls appear
The operator circles and the traffic light sit at the bottom of each dispatch card on the Workflow board, and in the dispatch header on the sales order page.
Assigning operators
Click + (Assign operator) and choose an operator. They appear as a coloured circle with their initials, in the user's Profile & Chart Colour from Settings → Team. Click + again to add more; the list offers only operators not yet on the dispatch, and + disappears once every operator is assigned. To remove an operator, hover over their circle and click the red × (Remove operator).
Assigning someone does not notify them. The assignment is a marker on the board, and the operator finds their work with the Operator filter.
Traffic lights
The traffic light is a pair of circles, green and red.
Colour | Meaning |
Green | Work has started. |
Red | There is a problem that needs attention. |
Neither | No colour is set. A new dispatch starts this way; the Traffic Light filter calls it Not Set. |
Click a colour to set it, and again to clear it. On the Workflow board the status dropdown takes the colour of the traffic light so problems stand out. The traffic light is always cleared when the dispatch status changes.
Notes on the order
Every change is written to the order's notes: assigning or removing an operator, switching a traffic light on or off, and a traffic light or operators cleared by a status change. See Notes, documents and links.
Filtering the Workflow board
Filter | Options |
Operator | All, No Operator (nobody assigned), or one operator. |
Traffic Light | All, Not Set, Green or Red. |
When an operator signs in, the Operator filter is set to their own name, so the board shows only their dispatches. (Someone made an operator while signed in sees every dispatch until they reload the page or sign in again.) They can change the filter; Reset Filters or a page reload puts it back to their name. Both filters also change the dispatch count and total value on the board, so set Operator to All before you read the day's total.
Removing operators on status change
By default operators stay assigned when a dispatch changes status. An admin can switch on Remove assigned operators when workflow status changes in Settings → App → Workflow Settings. Omono then clears the operators on every status change, and someone assigns the next person by hand.
Suggested routine
Assign operators to the day's dispatches in the morning. Filter by No Operator to find those still unassigned.
Set the traffic light to green when you start a dispatch, and to red when you hit a problem.
Check the board for red lights during the day. Filter by Red to see them all.
