Book in a delivery

Receive goods against a purchase order so that stock goes up.

Written by Chris Hearn

A delivery is the goods you expect against a purchase order. Creating it does not change stock; receiving it does.

  1. Open the purchase order and click Add Delivery. The Add New Delivery form opens.

  2. Set the Delivery Date. The calendar only offers today or later.

  3. Enter the Qty for each line. The box shows how many are not yet on any delivery, for example "of 25". Click Add All to fill every line with its "of" figure.

  4. Optionally enter a Serial Number for each line.

  5. Click the tick to save. Repeat for each part delivery.

The Add New Delivery form with a delivery date and quantities entered.

  1. When the goods arrive, change the status dropdown on the delivery to Received. The dropdown appears only once the PO is out of Draft, so email, download or print the PO first.

In Stock goes up and On Order goes down for every item on the delivery, except never-diminishing items, which have no stock level. The Receipt Date is the day you change the status and cannot be moved into the past, so do this on the day the goods arrive. The PO becomes Complete when every line is fully delivered and every delivery is received.

A delivery must have at least one quantity, or the form closes and nothing is created. You cannot book in more than the "of" figure on a line. Add Delivery is hidden until the PO has a line item, and once every item is on a delivery.

For delivery statuses, correcting or deleting a receipt and short shipments, see Receiving deliveries.
